Voyager 8 - Entering Monthly Sales Data

If you have the proper permissions, you can enter sales for each month during the lease term for a specific tenant at a specific property.

To enter monthly sales data

  1. On the top menu, select Lease Admin > Retail > Monthly Sales Entry. The Monthly Sales Data Entry screen appears.

  2. Complete the required fields.

The system displays the dates that sales data were entered.

Create Estimated Sales Log

The system generates a Microsoft Excel File Format (XLSX) file.

  1. Click Display. The Retail Parameters section appears next to the Lease Information section and a row representing each month in the lease term appears in the Results section.

    TIP: If you want to see more information in the Results grid, you can click the Down arrow

    in the top left corner of the screen to collapse the filter section.

    When the filter section is collapsed, click the Down arrow in the blue filter chip

    to reveal the selected filters or click the View Retail Parameters link to view the lease term, sales type, sales reporting frequency, and sales year end month.

  2. Enter sales in the appropriate columns.

Estimate

Estimates of the sales for the period.

Actual

Actual sales totals for the period. (Typically, actual sales are reported to the property manager by the tenant).

Actual Certified

Appears only if the optional parameter OptShowActualCertifiedFlagForSalesData_SS.pkg is enabled.

Indicates that the actual sales have been certified.

Audited

Audited sales totals (typically entered once a year).

Gross

Gross sales totals for the period.

Gross Estimate

Estimated gross sales totals for the period.

Forecasted

Predicted sales totals for the period.

Sales Reported

The check box in this column is automatically selected when you enter sales.

TIP: You can enter negative sales amounts. If you enter gross sales less than zero, gross sales less than audited sales, or gross sales less than actual sales, an error message indicating incorrect data appears under that column.

TIP: Once you have entered sales data, you can lock each sales type column individually or lock all the sales type columns to prevent data from being changed by other users. The optional parameter, "Commercial: OptShowLockforEachSalesDataType_SS.pkg," must be enabled in Voyager to be able to lock sales for a specific sales data type.

  • To lock a single month of sales data for a sales type, in the row corresponding to that month(s), click the check box in the Lock column next to that sales type column.

  • To lock sales data for all the months in a year for a sales type, click the check box at the top of the Lock column next to that sales type.

  • To override the individual Lock columns, select the Lock All column.

  1. If you want to see the next 12 months of data in the Results grid, click the Next Period button. If you want to see the previous 12 months of data, click the Prior Period button.

  2. After you have finished making any changes, click Save. Sales estimates are recalculated.

  3. If you want to distribute a tenant's calculated sales amounts over all the months, click the Spread Sales button. For more information, see .

TIP: If you want to export the information in the grid to Microsoft Excel File Format (XLSX), click Export to Excel.
