Deal Manager External User
How to Add a Deal as an external user.
When adding a new deal, click on the + Add button located at the top section of the bar and select Add Deal. The Add Deal page will populate, and you will need to first select the client for whom you will be creating the deal. This will provide you with the correct list of properties for the client and create the deal in the correct client environment. If a deal is created in the wrong environment, it can’t be moved from that client’s environment. It will need to be deleted and recreated in the correct client environment.
At this stage, you only need to enter any known information related to this deal including the Tenant (required field), Property, Deal Type, Deal Stage, Lease Source, SIC(Standard Industrial Classification) and Deal Notes.
Required Fields
Deal and Proposal Required Fields will vary from client to client.
· Fields marked with a red asterisk (*) must be completed to save the Proposal or Deal.
Typically, a Deal is added in Deal Manager with an initial stage of Lead. The deal stage is later updated to Tour after a potential tenant has toured a space. Then moved to Proposal once we are ready to add the proposal terms.
An update to the Deal Stage can be made by locating the Deal on the Deal Dashboard, going to the Deal Details page, clicking the dropdown next to the Deal Stage field, and selecting the stage. Click Save to update the deal stage.
Changing the Deal Stages: As a deal progresses from initial contact with a prospective tenant up through lease execution, it is important that the deal stage be identified. The deal stages that exist within Deal Manager are described below. Deal stages work the same in all client environments, but substages will vary depending on the client.

External User Dashboards in Deal Manager – Deal, Property, Space, Reports, etc..
The Deal Dashboard is the default landing page in Deal Manager. It provides a comprehensive view of all active deals that a user has access to, along with powerful filtering and navigation tools. The filter called Client can assist you in filtering deals by clients. If left blank, deals from all clients the external user has access to will appear. By selecting a specific client, this will provide only deal data for that specific client. Selecting the client will also affect the properties, spaces, and substages that can be selected in the additional filters.
The Property Dashboard in Deal Manager provides a centralized view of all properties a user has access to, along with detailed metrics, filtering tools, and tab-based navigation for managing property data. The filter called Client can assist you in filtering properties for a client. By default, the internal environment that the user is in will be preselected. If you do not see a specific property you are looking for try changing the client filter to the correct client.
The Spaces Dashboard in Deal Manager provides a comprehensive view of all spaces a user has access to, along with filtering tools, interactive metrics, and tab-based navigation for managing space-level data. The filter called Client can assist you in filtering properties for a client. By default, the internal environment that the user is in will be preselected. If you do not see a specific space you are looking for, try changing the client filter to the correct client.
The Reports Dashboard in Deal Manager offers a comprehensive suite of reports to help analyze leasing activity, deal status, property performance, and user actions. As an external user, you will have access to specific reports based on external client permission. To filter by client, you will need to go within the More drop-down menu; there you will find the client filter.
All other dashboards will have the client filter within the main menu bar or within the More dropdown menu.
Property access or page permission,
As an external user, you will not have access to the entire portfolio. If there is a specific property that you as an external user need access to, this will need to be requested from the client admin team directly. Similarly, page security is based on the external role; if there is a page restriction that needs to be given, this would need to be requested from the client's admin team.
Company Setting access as external user
As an external user you will not have access to the client’s company settings. Any changes to the company settings would need to be requested from the client admin team directly
