User Administration Guide

This guide outlines how to manage users, roles, and teams within Deal Manager.

Internal Users

Adding a New User

⚠️ Note: Ensure roles are configured before adding users.

Required Information:

  • First Name

  • Last Name

  • Email/User Code

  • Role

Optional Information:

  • Designation

  • Phone / Mobile Phone

  • Country

  • Description / Notes

  • Default Market for Leads

Recommended Toggles:

  • Is Verified: Confirms the user is verified.

  • Deal Manager: Grants access to Deal Manager.

  • Access to All Properties: Enables access to all properties in the environment.

Additional User Toggles

  • Deal Manager SPOC: Marks the user as a Deal Manager point of contact (suggested max: 3).

  • Edge Marketing SPOC: Marks the user as an Edge Marketing point of contact (suggested max: 3).

  • Edge LM Contract: Identifies users under contract.

  • Allow to Switch Companies: Grants admin-like access to switch between companies.

  • Edge (Listing Manager): Grants Listing Manager access.

  • Marketing Manager: Grants Marketing Manager access.

  • Site Manager: Grants Site Manager access.

  • Coworking Manager: Grants Coworking Manager access.

  • Floorplan Manager: Grants Floorplan Manager access.

  • Disable User: Deactivates the user without deleting them.

Newsletter Subscriptions

  • General Announcements: Receive general updates via email.

  • Product Announcements: Receive product update notifications.

  • Daily Digest: Daily summary of created or updated deals.

  • Weekly Digest: Weekly summary of deal activity.

  • Monthly Digest: Monthly summary of deal activity.

User Status

  • Last Login: Displays the user's most recent login date.

  • Date Registered: Shows when the user was created in the system.

  • Delete User: Permanently removes the user from Deal Manager.


External Deal Manager Users

External users (typically brokers) must be invited and linked to a company.

Steps to Add an External User

  1. Confirm Company Exists: Ensure the user’s company is already added in Deal Manager.

  2. Access Client Environment: Navigate to the environment where the user will be invited.

  3. Invite User:

    • Enter the user’s email.

    • Assign a role.

    • Set property access permissions.

Once invited, the user will appear with their name, email, role, phone number (if provided), and associated company.


External ILS Users

  • These users are associated with marketing products.

  • Note: Deal Manager admins do not need to manage this section.


Roles Management

Roles define user permissions and access levels.

Role Configuration

  • Default Roles: “Admin” and “Broker” are system defaults and should not be renamed or deleted.

  • Voyager Role Mapping:

    • Deal Role: Maps Voyager Deal Role to Deal Manager Role.

    • Lead Role: Maps Voyager Lead Role to Deal Manager Role.

    • Customer Role: Maps Voyager Customer Role to Deal Manager Role.

Default Deal Filter Options

  • All Deals: Access to all deals.

  • My Deals: Access only to the user’s own deals.

  • My Team’s Deals: Access to deals created by team members.

  • Recent Deals: (Clarification needed — 3 months or 30 days?)

Role Toggles

  • Deals Restricted: Limits access based on the selected default deal filter.

  • Is Admin: Grants full access to all security permissions.

  • Is Active: Indicates whether the role is currently in use.

Role Actions

  • Edit Role: Use the pencil icon to:

    • Rename the role

    • Map Voyager roles

    • Set default deal filters

    • Toggle restrictions and admin access

Security Settings

  • Page Security: Grants or restricts access to specific pages.

  • Element, Contact, and Other Tabs: Configure detailed access controls.


Teams Management

Teams allow grouping of users for streamlined access and deal sharing.

Team Configuration

  • Team Status: Indicates whether the team is active.

  • Edit Team: Add, remove, or rename users within the team.

Team Member Details

  • Name

  • Email

  • Role (e.g., Manager or Agent)

  • Date Added

  • Disable/Delete Options
