Deal Manager passwordless login overview
Passwordless login is a security measure that eliminates traditional passwords and requires users to authenticate their identity before accessing their account. Users can authenticate their identity using the following methods:
YardiOne
Secure login link
Verification code
Google authentication
Microsoft authentication
Apple authentication
Passwordless login enhances the security and user experience of our platform. This approach increases protection against threats like phishing and credential theft and significantly reduces the risk of unauthorized account access. It also streamlines the user experience by reducing password-related support requests, minimizing frustration for users, and improving operational efficiency for organizations.

Logging into Deal Manager
As of the upcoming release YDM_26.1 on March 3rd, 2026, we strongly recommend creating a YardiOne account for all users that need access to Deal Manager.
This is in alignment with Yardi’s company security policy. These updates are designed to further safeguard your information while ensuring the reliability and performance you expect from Yardi Systems Inc.
Users can also authenticate their identity using the following methods:
Email Secure Link – From the Deal Manager login page, after entering their email address, users will automatically receive a secure link via email. Clicking on the link automatically logs them into their account.
Authentication via Text Message and Email – Users can choose to receive a one-time verification via either text message or email based on their chosen preference on the screen.
Third-Party Single Sign-On (SSO) – Users can seamlessly log in via Google, Microsoft, or Apple authentication.
Users previously accessed Deal Manager by entering their email address and password on the login screen. They will continue to use the same email address for this workflow.

1. On the Deal Manager login screen, the user enters their email address and clicks Next. The Sign In screen appears, instructing the user to check their email for a secure login link or the user can choose to be sent a verification code instead.
2. The user is instructed to click the Sign in to CommercialCafe button from the email or copy and paste the provided link into their browser:
Note: The secure login link expires in 15 minutes. After 15 minutes the user can click “back to login” to navigate back to the Login screen to send a new secure login link email.
3. Optional: Two-Factor Authentication can be enabled by users under “My Profile” to be used in conjunction with a mobile number that the user will need to add on the user screen or within their user profile. When turned on, and only when the user logs in with Secure Links, this will be the second mode of authentication. A secure link will be sent to their email then the user will be prompted for a 6 digit code sent to their mobile number. This 6 digit code expires in 10 minutes.

1. On the Deal Manager Sign in screen, the user clicks the Click here link to send a one-time verification code to their phone number or email address.
Note: SMS verification is only available if the user has configured and verified their phone number under My Profile in Deal Manager.

1. If the user’s email address is associated with an Apple account, click Apple.
2. The user will enter their email address or phone number.
3. The user will be prompted to create an account for Deal Manager using their Apple Account. To verify the user email and Apple account match, the user must select “Share My Email”.
External User Setup

To set up External Users, the following same options still apply:
YardiOne – External users can be added directly within YardiOne by creating a Group with Deal Manager as the only app in that group. To ensure that the Deal Manager app is the only available app, please ensure the access type on the app is set to “Individual”. Once the group has been created, you can add all External Users in YardiOne and assign them to that group.
Social Login Options – External Users can also choose to login with either Google, Microsoft or Apple authentication as described in the sections above.
Secure Links – If the user is not configured on YardiOne and does not choose any of the Social Login Options, when they click “Next” on the screen (below), they will be prompted to access the Secure Link sent to their email to proceed with logging in via 2-Factor Authentication, as mentioned in the Deal Manager passwordless login overview above.
External User Login
External User Login
The following screenshots outline the process for External Users logging into Deal Manager via YardiOne. This process is the same for the desktop and mobile applications.

Do external users need to be configured in YardiOne for Deal Manager?
We strongly recommend adding all users, including external users, to your company’s YardiOne instance to access Deal Manager.
Additionally, users can log in with the following passwordless login methods: secure link, verification code, Google authentication, Microsoft authentication, Apple Authentication.
Will adding users to YardiOne also give access to Voyager?
No, Deal Manager users provisioned for CommercialCafe Apps in YardiOne will not be given access to Voyager.
Is YardiOne compatible with third party single sign-on platforms such as Okta?
Yes, YardiOne can be used with third party single sign-on platforms such as Okta. Okta and other SSO platforms can be used together to provide user access to Deal Manager.
Will there be a change when users receive actionable emails from Deal Manager under the new passwordless login requirement?
There will be no change to the user experience when redirected to Deal Manager from the email when clicking on 'Go to Comment' or 'Go to Deal'.
How to add External Users to YardiOne
First, invite External Users to Deal Manager, then provision the user for CommercialCafe Apps in YardiOne. Users can then be invited via email by generating a YardiOne link.
YardiOne Group Provisioning Tip
Creating Groups in YardiOne and applying a template to all users in the Group allows for quicker user provisioning. A template applied to a group will provision all users within the group with the same configuration for items such as Role and the “Access to All Properties” flag.
